Senior Portfolio Administrator (Parental Leave Contract)
**Please note** This is a 15-month full-time contract role with the possibility of extension.
We’re looking for a new team member to join the operations team of our diverse, multi-asset class client portfolios and funds. If you are financially savvy, detail-oriented and passionate about positive impact, you may be perfect as our Senior Portfolio Administrator.
ROLE DESCRIPTION
We manage portfolios for clients and manage three impact funds. The Senior Portfolio Administrator will carry out some key tasks regarding portfolio administration while the Manager, Operations is on parental leave, ensuring we maintain a strong management of portfolio operations by overseeing the day-to-day middle office functions, such as ensuring trade activities are monitored and administered in a timely and efficient manner as well as being on top of quarterly and annual cycles of operations as required by compliance.
PRIMARY DUTIES
The Senior Portfolio Administrator oversees one Portfolio Administrator and works with other team members in portfolio administration, portfolio reporting, client onboarding and relationship management. The position will report to the Manager of Operations during an onboarding transition period while the Manger of Operations is here (Q1 2025, expected) and to the Head, Finance, Operations and Compliance for the rest of the contract term. Primary duties are as follows.
Portfolio Administration:
- Oversee the flow of subscriptions for private clients as well as proprietary fund products and ensure they are completed by the Portfolio Administrator in a timely manner.
- Liaise with product issuers to address onboarding and ongoing portfolio administration questions or issues, as they arise
- Act as an internal point person for the portfolio management system (PMS), including onboarding new internal users
- Input data into the PMS to ensure all financial information about holdings is captured including capital calls, distributions, NAVs, redemptions, currency conversion and units and troubleshoot any issues that come up
- Liaise with the team and use the research management system (RMS) to ensure smooth data sharing between systems
- Pull account statements and transaction records from custodian platforms and reconcile against Rally records and assist with client account reconciliations and invoicing
- Oversight on capital call procedures and processes
- Assist with the collection of any required tax documentation and audit confirmations
Portfolio Reporting:
- Work with PMs and impact reporting colleagues to produce financial statements
- Collect investment spotlights from the RMS
- Coordinate with teammates on compiling investment reports
- Monitor and respond to emails in our centralized reporting inbox along with the Portfolio Administrator.
Client Onboarding:
- Assist with the client onboarding processes by using our onboarding platform and coordinating with custodians
- Coordinate with PMs and new clients to prepare client KYC forms and other new account forms, including pre-filling forms where possible and answering client questions
- Support the drafting of Investment Policy Statements and Investment Management Agreements for PM review
- Oversee filling out custody account opening forms
- Use custodian platforms and pull appropriate reports and statements for account reconciliation
Client Relationship Management:
- Assist PMs in preparing materials for client meetings including quarterly reporting and other meeting preparation with administration and operational components
- Assist PMs as needed with other meetings, particularly if they have an administration and operations component
- Support PMs with client questions that relate to administration and operations
- Assist PMs with annual KYC review including pre-filling and sending out KYCs and drafting new IPSs for PM review
QUALIFICATIONS
On your resume, we ask that you demonstrate the following:
- At least three years' experience in an operations or portfolio administration capacity in the financial services industry
- Relevant degree in a field such as accounting, or relevant work experience
- Exposure to private markets and/or impact investing are considered strong assets
- Experience learning new technologies and working with SaaS providers
- Experience inputting data into and extracting reporting from a PMS and/or RMS
- Experience solving problems independently
- Experience working successfully in small team environments
- Experience managing team members would be asset
- Proficiency in both English and French is considered an asset
- That you are legally able to work in Canada

This role is being offered as a fixed-term position, for 15 months. There may be an opportunity to continue as a full-time employee after the end of the contract. This will be assessed at a later time.

Salary Range: $70,000-$80,000
