Who we need

Reporting to the VP of Implementation, we have a new opportunity for a Senior Admin Assistant to join our team. You will provide calendar management, email, and project support for the COO and three Vice Presidents. You will be integral to our success and speed by keeping our geographically dispersed leadership team on track and on top of everything. You will blend classic administrative duties with the agile problem-solving responsiveness of a critical player in a startup environment.

This is a fully remote role requiring the flexibility to work across time zones to meet the support needs of the leadership team.

You are passionate about acting as a source of information, a connection point, and the driving force behind the scenes. You are all about getting things done. You have experience working at a startup or scaling company, supporting multiple leaders. You may have a background in telecommunications or real estate/ land acquisition. You are meticulous, thorough, and organized.

Ownership. You will be a front-line company member, creating structure and processes to help us evolve. You will be able to take charge of administrative systems, including growing into a super user and subject matter expert of our new database system. 

Career development. You will work closely with and report to a VP who trusts his team, removes barriers and gives them the space to take risks and learn from mistakes. You will rapidly expand your influence, network and industry knowledge.

What you will do:

  • Provide administrative support. You will build trusting relationships as you develop insights into the individual administrative needs of the COO and VPs. You will manage and respond to emails and other correspondence, including telephone and mail. You will help coordinate projects and plan and execute special events. You will produce and disseminate documentation. You will schedule meetings, manage calendars, and coordinate travel arrangements. 
  • Manage files. You will perform data entry in Excel and our new system, ensure accuracy, and run scheduled and ad hoc reports. You will maintain accurate records in electronic and paper filing systems.
  • Create presentations. You will build and format presentations for internal and external meetings. You will verify content and edit text for accuracy. 
  • Support the wider team. You will coordinate the shipment of equipment for employees, working with IT as needed for orders or support. You will also manage supply orders and collaborate with teams to ensure that all necessary meeting items are shipped. You will respond to internal and external inquiries and requests for information.

What you bring:

  • The experience. You have worked as an administrative assistant in a smaller company, supporting multiple senior leaders. You are experienced in managing administrative tasks such as calendars, virtual and in-person meetings, events, and travel arrangements. You excel at building trusting relationships and acting as a bridge across teams, ensuring clear communication, timely decision-making, and focused conversations. You have a proven ability to manage multiple internal and external demands, stepping in where needed, relaying information efficiently, resolving concerns, and building trust. Handling sensitive and confidential information with integrity and discretion is second nature to you.
  • The drive. You can balance multiple concurrent deliverables without losing sight of the details. You can prioritize competing deadlines, shifting priorities as needed. You take the initiative to identify gaps, create processes, and implement solutions. You have a growth mindset and continuously seek to learn and expand your reach and impact.
  • The technical skills. You are highly proficient with MS Office, including advanced skills in MS Excel. You can comfortably navigate databases and may have some experience acting as a database administrator. You can quickly learn new software and systems. 
  • The communication skills. You take a people-centric, knowledge-sharing approach to your work. You have exceptional written and verbal skills. You can adopt the voice of executive leaders to draft communications and accurately represent our organization. You are equally comfortable making phone calls as you are responding to emails.
  • The flexibility. You can work outside of the time zone you reside within to meet the varied support needs of the organization.
